Study Visa

Before you travel to Japan to study at KSU, you must have a valid passport, and obtain a study visa.

After your enrollment has been officially confirmed here, by entrance examination or departmental approval process, we send out a letter of acceptance and Certificate of Visa Eligibility (CVE) application forms that must be filled out and returned to us (by express mail), together with other required documents (see below).

We then submit the CVE application to the Kyoto Immigration Office. Processing usually takes
from 2 weeks to one month (sometimes even longer), after which we express-mail the CVE to you. In order to get the necessary visa stamped into your passport, you must take the CVE, together with your passport, to your nearest Japanese Consulate or Embassy, before leaving for Japan.

If there is a possibility that you will need to travel outside Japan during your stay, ask when you apply if you can get a visa with multiple re-entry. Otherwise you will need to pay separately for this in Japan, as described below.

Processing by the Consulate may take 3 or 4 working days, so it is important to allow time for this before your departure.

Documents required for CVE Application:

• Completed Certificate of Visa Eligibility Application Form (supplied by KSU)

• Certification of sufficient finances to cover study period in Japan (bank statement, scholarship or grant notification etc.).

• Photocopy of main page of passport

• Three passport-size photographs (
3cm x 4cm)

Re-Entry Permit:

If you go out of Japan during the period of validity of your study visa, you will need to obtain a re-entry permit. These are available for single re-entry, or multiple re-entry, and issued by the Kyoto Immigration Office, located on Marutamachi Street, north side, between Higashioji and Kawabata Streets.

A Single Re-entry Permit costs 4,000 yen
A Multiple Re-Entry Permit costs 6,000 yen, and is good for 3 years.

Documents required:

• Completed Re-entry Permit Application Form (supplied by Immigration Office)
• Passport
• Alien Registration Card
• Revenue stamp for permit fee (available from nearby store, see map at Immigration Office)

If you expect to travel outside Japan during your stay, ask for a multiple re-entry on your original visa when you apply with the CVE (in some countries though this is not available).

Visa Regulations :

EMPLOYMENT: Undergraduate students are allowed to work up to 28 hours per week, and research students (kenkyusei) are allowed to work 14 hours per week. Both are required to inform the Immigration office of their employment details, and any changes.

Some types of job, for example bar work, are strictly forbidden.

If found working illegally, students are usually deported immediately. Since this would also have a negative effect on other visa applicants from KSU, students are strongly advised to ensure that they follow Dept. of Immigration regulations at all times.

Please consult with International Office staff if you have any questions about visa matters.
