Exchange Students

KSU offers full-semester exchange to students of the following 21 institutions with which we currently have formal exchange agreements. We do not accept exchange applications from any schools not listed here.

Application Procedure
(see full step by step process here):

• Applicants must first be accepted and recommended through their home institution’s exchange student selection process, before applying to KSU.

All efforts will be made to accept recommended exchange applicants, but KSU’s final decision depends on space availability in particular departments. Acceptance by some departments may depend on Japanese language skills. 

Please note that Manga Production is not yet ready to accept exchange or research students. Also, Nihonga (Japanese Painting) is not currently open to exchange (though the technique is taught as an elective in Oil Painting).

Another point to keep in mind is that KSU's departments are virtually autonomous units, with very few interdisciplinary study opportunities. After being accepted by a particular department, you will be expected to take classes only in that area. Exceptions are Graphic Design, Illustration and Digital Creation, which work closely together. It is also possible to find some overlap between Printmaking and Textiles.

• Students who have been selected by their home institutions are required to send the following application materials:

1) KSU Exchange Student Application form, filled by student, including statement of purpose (please download from sidebar of this page, together with our Exchange Factsheet)
2) One letter of recommendation from the student's Head of Department or academic advisor
3) Most recent official transcript of undergrad (or grad) studies
4) 2 passport-type photos of applicant
5) For Faculties of Art/Design/Manga: A portfolio of 12 - 20 slides etc showing suitably representative works (printed images in a clearbook are accepted, or material on CD-ROM in commonly used format, if definition quality is sufficient for the work to be clearly evaluated) with description including title, media, size and approx. date when the work was created.
6) JASSO Certification of Enrollment form, completed by home institution. (If JASSO scholarship is offered - [sorry, not available in 2010]. For fairness, scholarships are allocated in rotation to our exchange partner schools when available.

Academic Calendar (also see here for more details)
KSU has two semesters: from early April through late July, and from mid September through the end of January.

• Exchange is usually for one semester, but may be extended in special circumstances

• Due to mismatch with partner institutions’ calendars, exchange is available in some cases only in second semester (classes from Sept. to January, or if necessary finishing in late December, to return to the home institution to start the next semester from January )

Application Deadlines
For first semester (from April):  November 15th of the preceding year.

For second semester (from September): April 15th
(but application by March 1st is necessary in order to be considered for JASSO scholarship).

Fees
Exchange students pay tuition fees only to their home institution, although Art students may be responsible for providing some studio materials (e.g. our Printmaking Department provides inks but students buy their own paper and printing plates etc.)

Language

Japanese language proficiency is essential in most KSU courses.Tutors at intermediate/advanced level provide weekly one-hour 1:1 classes through the International Office, but do not teach basic Japanese.

Accommodation

Exchange students are eligible to stay in KSU international dorms, if rooms are available. If all rooms are full for the semester, we assist students to find alternative accommodation. In some cases it may be possible to exchange a room or apartment with a KSU student who is exchanging at your institution, if the period of exchange matches.

Health Insurance
Incoming exchange students are required to join Japan's national health Insurance scheme. This is not expensive (less than 2,000 yen per month) and covers medical treatment, emergencies and dental care.

VISA PROCESS

A student visa is required, and must be obtained before travelling to Japan.
After acceptance is confirmed by the department here, KSU sends Certificate of Visa Eligibility (CVE) application forms that
must be filled out and returned (express-mail). We then submit them to the Kyoto Immigration office. Processing takes about 2 weeks, after which we express-mail the CVE to the student, who then submits the CVE to their nearest Japanese Consulate or Embassy, in order to get the necessary visa stamped into their passport. Documents required for CVE:

• Completed Certificate of Visa Eligibility Information Form (supplied by KSU)

• Certification of sufficient finances to cover study period in Japan (bank statement, scholarship or grant notification etc.).

• Photocopy of main page of passport

• Passport-size photographs (x3)
